  • Overview and Responsibilities

    The Executive Assistant to the Sr. Vice President of Ad Sales will support a world-class media sales organization on the West Coast, located in Holllywood, CA.

     

    The role will provide administrative and logistical support for a veteran entertainment executive and a team of hyper-talented sales and marketing professionals, as well provide event coordination assistance for high profile events.

     

    Job Responsibilities:

     

    • Prioritize daily tasks and responsibilities in support of the SVP, Ad Solutions in a bi-coastal, quickly changing and fast paced office environment
    • Collaborate with the SVP to execute time sensitive special projects for Senior Management
    • Manage confidential and sensitive information with utmost diplomacy and professionalism
    • Manage and help execute annual client roadshows (Studio Roadshow, Data Roadshow), including coordination of timing/logistics, car services, catering, and technical support
    • Coordinate with clients to schedule pertinent meetings, calls, and events for the SVP
    • Plan and execute internal staff events, outings, retreats and draft and distribute team wide communications on behalf of the SVP
    • Arrange travel for the SVP, including domestic and international flights, hotels, and car service
    • Organize and submit expense reports in a timely manner
    • Provide general office support for visiting Ad Solutions staff, including the National Head of Sales
    • Provide executive support for SVP on weeknights and weekends, as necessary

    Client Relations & Event Management responsibilities:

    • Lead west coast client relations and oversee RSVP lists for Viacom events, tentpoles, premiere parties, show tapings (5-6 Tentpoles, 18-20 Network/Brand events, annually)
    • Establish and facilitate open communication and ongoing dialogue between SVP, VPs, AEs, and NY Events Team to ensure all parties are up to date on event and client updates
    • Manage high level client correspondence for each event, including initial invitations, follow up emails, distribution of event details and logistics, and last minute requests & troubleshooting
    • Provide day of & on-ground support at events for the SVP, the Events Team, and clients, including on weeknights and weekends as necessary

     

    Basic Qualifications

    • 2-3 years minimum of experience as an Administrative or Executive Assistant
    • Bachelor’s degree and relevant experience in advertising, marketing, sales, media and/or entertainment
    • Proactive, Resourceful, Self-Starting, Self-Aware, Highly Organized and Detail Oriented
    • Must have professional phone and email etiquette and excellent executive presence
    • Must have excellent oral and written communication skills
