  • Overview and Responsibilities

    The Executive Assistant will be responsible for providing total administrative support and manage the day-to-day operations of the SVPs within the Tax group.  Additional support may be required to the VPs and other members of the team. The Assistant will interface regularly with the SVP’s direct reports and their assistants, as well as various Viacom executives.  This position will report to the Senior Vice President, International Tax and the Senior Vice President, Global Tax Reporting


    • Manage calendar, including meeting planning, scheduling, resolving scheduling conflicts and preparation of all meeting logistics, including ensuring availability of necessary technology platforms, opening video/audio conference call lines, etc.
    • Screen and prioritize mail and incoming telephone calls; responds to inquiries and resolves issues requiring attention; places outgoing calls on behalf of SVPs; maintains complete and formal log of telephone calls.
    • Prepare all travel arrangements; includes coordinating schedules with internal Viacom personnel and 3rd parties where appropriate.
    • Maintain a complete filing system (electronic and/or paper).
    • Assist in preparing presentations for meetings.
    • Maintain follow-up file to proactively advise SVPs of upcoming events, key items, or activities.
    • Compose and prepares routine correspondence.
    • Maintain calendar and follow-up system to proactively advise SVPs of appointments, meetings, and deadlines. 
    • Assist the VPs with the coordination of special projects and events, as necessary. 
    • Handle expense reports and invoice processing, where necessary. 
    • Manage the space needs and facility requests and supplies for the department, as appropriate. 


    Basic Qualifications

    • 8+ years as an Executive Assistant supporting senior level management.

    • Highly organized with superior attention to accuracy and detail.
    • Ability to answer phone inquiries in courteous, professional manner. 
    • Ability to proactively advise SVPs of appointments, conflicts, meetings and deadlines. 
    • Ability to work in a high pressure, fast moving environment.
    • Strong computer skills (Microsoft Word, Excel, PowerPoint).
    • Ability to prioritize and be flexible to shifting priorities/deadlines.
    • Strong interpersonal skills including the ability to interact with individuals at all levels of an organization.
